
Personal Assistant Needed for Family in Brooklyn | Remote 80% of the Time

Families Location: Brooklyn Heights, Brooklyn, NY
Number of children and their ages in household: 2 children, 8 years old twin son & daughter.
Type of Position: Personal/Family Assistant
Schedule: M-F 9-5pm (must be flexible & willing to work outside of standard work-week as needed)
Compensation & benefits: Salary DOE $75,000-90,000, PTO, Annual discretionary bonus. Healthcare stipend.
Start Date: ASAP
Travel Required: Occasional Travel.
Family Overview: A Brooklyn Heights family of four is seeking a 80% remote, full-time, personal assistant to help streamline their day-to-day life. This role requires a mature, highly organized individual who has excellent attention to detail, a calm demeanor, and a “no task is beneath me” attitude. The right candidate will be comfortable supporting both professional and personal tasks for both parents, enjoy wearing many hats, and thrive in a dynamic, home-based environment.
Position Responsibilities will include, but are not limited to:
Keeping the executive organized in day-to-day life, proactively anticipating needs
Plan and book domestic and international travel, both private and commercial, for family members and staff, including flights, accommodations, ground transportation, and itineraries
Maintain up-to-date records of travel & insurance documents, including passports, visas, driver’s licenses, and other IDs
Maintain detailed records and databases for licenses, memberships, and subscriptions
Writing and sending emails on behalf of the principal and family
Booking tickets for events, making restaurant reservations, and coordinating car service
Support the family with special projects, including holiday cards, gift purchases, and event planning and executions
Managing household calendar for parents and children, ensuring all appointments and commitments are up to date
Eventually doing some expense tracking, bill payments, and household budgeting
Serve as a liaison between the family, vendors, and service providers
Proactively resolve scheduling conflicts or logistical issues
Ordering household items and managing incoming packages and returns (Amazon, etc.)
Requirement:
Exceptionally detail oriented– someone who is concerned with triple checking items
Exceptionally organized, with strong administrative and time-management skills
Mature, professional, and discreet
Tech-savvy and efficient with email, calendar apps, and online ordering
Easy-going, solutions-oriented, and flexible
Comfortable being able to work in a home or informal office setting
US work authorization
Seeking a long-term role
Willing to work outside of standard work-week as needed
Local to NYC with the ability to work in Brooklyn Heights when not remote.
At least 3 years of proven, verifiable experience in a similar role, with excellent long-term references

Should maintain a child-safe environment
Team-player happy to partner with existing household staff. No one is to be above anyone else in the hierarchy of staff
Must have experience and skillset with scheduling Zooms, using WhatsApp, Google Workspace, etc.
Exceptional organization skills; ability to juggle multiple, sometimes competing, priorities seamlessly
Outstanding written and oral communication skills with strong attention to detail
Unwavering professionalism, absolute discretion, and exceptional judgment
